Union Tec Co., Ltd. (hereinafter referred to as “the Company”) establishes the following Privacy Policy regarding the handling of privacy information of customers (hereinafter referred to as “Users,” including individuals who do not use the Company’s services) in connection with the website operated and managed by the Company (hereinafter referred to as the “Website”), the Company’s business activities, and various services provided by the Company (collectively referred to as the “Services”).

Article 1. Definitions
For the purposes of this Privacy Policy, the following terms shall have the meanings set forth below.

“Privacy Information” refers collectively to Personal Information and Usage Information as defined below.

The Company will appropriately manage Privacy Information and will not disclose or provide it to third parties without the User’s prior consent, except in the following cases:

  2. When necessary to protect the life, body, or property of a person and obtaining consent is difficult.

  3. When particularly necessary for improving public health or promoting the sound development of children and obtaining consent is difficult.

  4. When cooperation with governmental authorities is required for the performance of duties prescribed by law.

  5. When the following information has been announced or disclosed in advance:

    • The purpose of use includes provision to third parties.

    • Procedures for requesting cessation of provision to third parties.

The following cases shall not be regarded as disclosure to third parties:

Article 5. Management of Contractors
When outsourcing the handling of Personal Information, the Company will select contractors that appropriately manage Personal Information and will exercise necessary and appropriate supervision through confidentiality agreements and other measures.

 


Article 6. Disclosure of Personal Information
Upon request from the individual concerned, the Company will disclose Personal Information without undue delay.
However, disclosure may be withheld in whole or in part if:

  1. Disclosure may harm the life, body, property, or other rights and interests of the individual or a third party.

  2. Disclosure may significantly interfere with the proper operation of the Company’s business.

  3. Disclosure would violate applicable laws or regulations.

An administrative fee of JPY 1,000 may be charged per disclosure request.
As a general rule, Usage Information will not be disclosed.

 


Article 7. Correction and Deletion of Personal Information
Users may request correction or deletion of their Personal Information if it is inaccurate.
If the Company determines that such request is justified, it will correct or delete the relevant information without undue delay and notify the User accordingly.


Article 8. Suspension of Use and Deletion
If a User requests suspension of use or deletion of Personal Information on the grounds that it is being handled beyond the scope of the stated purpose of use or was obtained improperly, the Company will conduct the necessary investigation and take appropriate action without undue delay.
If suspension or deletion is difficult due to excessive cost or other circumstances, the Company will take alternative measures necessary to protect the User’s rights and interests.

 


Article 9. Changes to this Privacy Policy
The Company may amend this Privacy Policy without prior notice to Users.
Unless otherwise specified by the Company, any revised Privacy Policy shall become effective upon publication on the Website.

 


Article 10. Management and Security of Personal Information
The Company will maintain Personal Information accurately and up to date within the scope necessary for its intended use.
The Company implements reasonable security measures to prevent unauthorized access, loss, destruction, alteration, leakage, or other risks associated with Personal Information.
Privacy Information is stored securely on servers accessible only to authorized personnel.
In the event of a data breach or other incident involving Personal Information, the Company will promptly notify affected parties, disclose relevant facts, and implement measures to prevent recurrence.
The Company will also endeavor to respond appropriately and promptly to complaints regarding the handling of Personal Information.

 


Article 11. Internal Governance
The Company appoints a responsible manager for Personal Information protection and establishes internal regulations and procedures to ensure the secure handling of Personal Information.
The Company continuously reviews and improves its privacy protection framework in response to changes in laws, social conditions, and business operations, and provides ongoing education and training to employees.
